SCPA School Lottery

Some Background for those of you that are new to the School Lottery…….

The last couple of years have been very challenging for everyone and with no face-to-face activity, the SCPA has been largely dormant with regard to fund raising. Through various organised events pre-covid, we were consistently raising up to £5000 a year for the school for equipment that enhances our children’s every day learning experience – the laser cutter for the DT department and the boat in the junior school are just two examples.

We also had big plans in 2020 to re-start our charitable fundraising activities as in the past we have raised tens of thousands for Chestnut Tree House and other local causes, but sadly Covid halted our momentum and by the end of 2020 our only fundraising was coming from the School Lottery. It has gone from being a useful secondary source of income, to being our only hope! The lottery is also an excellent way to support the school and help raise funds with very little effort on the part of the subscriber – which can be crucial for the busy parents that want to be involved but can’t always attend events or volunteer time. It is also financially, very easy for the school to benefit - This year a school in Ayelsbury won the prize for raising £20k for a new climbing wall after a specific campaign was supported by the school community, so large scale fund raising is possible if enough people join.

We currently raise between £80 and £110 per month from the lottery ticket sales but we only have 35 families playing 53 tickets. There are approx. 350 children at the school so there is a lot to go at if more parents join!! Since 2016 we have raised £6700 through the lottery  - imagine what we could do with every family buying just one ticket a month!!

The benefits of being in the lottery are two-way as the prizes are based on the number of entrants and get better the more of us there are. As well as the grand prize of £25,000, every month the lottery releases non-cash prizes - from B&Q vouchers, to bike vouchers, to electronic goods to fruit and veg box subscriptions. Most of us that have been doing the lottery for a while have several times although Shoreham has yet to see a big cash prize winner – maybe this is our year!

These meetings are held termly to discuss the business of the SCPA. All parents are members of the SCPA and as such are welcome to attend these meetings. The Committee will discuss and vote accordingly on any business requested on the agenda.

The SCPA Committee

The role of the SCPA is a mixed one. We aim to both support the staff during after school events and/or provide entertainment on a once termly basis for both pupils and parents and hopefully in doing so, boost the SCPA coffers. The money raised is used to provide items such as equipment for the school or for a variety of charities, usually chosen by the pupils.

Essentially, Committee meetings are held once a term to discuss what events we might like to organise; ways of funding these events; volunteer gathering and how to spend money that has been raised. All members of the Committee are parents of children currently attending the school.

For the SCPA to continue successfully assisting the school we need more parent volunteers. Chair

The Chair provides leadership for the committee ensuring all SCPA business is properly debated and agreements reached.  The Chair also works closely with the Secretary and Treasurer to ensure that the association is run effectively.

  • Ensure the Committee fulfils its role in respect of governance of the association
  • Sign the approved minutes of the last meeting
  • Set the agenda for meetings in liaison with the Secretary
  • Agree a date for the next meetings
  • Ensure agendas are followed and all business is covered
  • Close meetings and call the meeting to order when it is time
  • Welcome and involve new members
  • Be approachable, diplomatic and a friendly advocate of the SCPA
  • React in a timely manner to all SCPA matters and prepare any required papers by agreed deadlines
  • Management of individual events
  • Sourcing and booking outsourced suppliers where required
  • Work with the Treasurer on budget requirements and spending
  • Work with the SCPA Committee to formulate a calendar of fundraising events
  • Develop and manage the events calendar with input and contributions from the SCPA Committee
  • Liaise with the Headmaster and General Manager of the school
  • Arrange licenses for events when necessary
  • Publicity of SCPA activities
  • Updating business lists for adverts and raffle donations
  • Updating notice boards
  • Newsletter
  • Update SCPA webpage and Facebook page

Mrs S Mackley - Secretary

The Secretary deals with all the correspondence that the association receives and helps the Chair ensure that the SCPA is run effectively and efficiently.  

  • Call meetings
  • Prepare and distribute agendas
  • Take and distribute minutes including for the website
  • Ensure that SCPA activities are in accordance with the Shoreham College Parents’ Association Constitution
  • Liaise with the Headmaster and General Manager of the school
  • Organise the AGM
  • Disseminate information quickly
  • Be approachable, diplomatic and a friendly advocate of the SCPA
  • React in a timely manner to all SCPA matters and prepare any required papers by agreed deadlines

 

Mrs S Keeley - Treasurer

The Treasurer manages the bank account and produces all financial papers. They retain the cheque book and arrange for all payments to be authorised as per the SCPA policy. The Treasurer deals with basic banking and record keeping. For events, the Treasurer will need to manage the cash float and to take responsibility for the recording and banking of the event takings.

  • Ensure the SCPA’s financial policies of approving expenditure are adhered to
  • Oversee and administer the 100 Club
  • Maintain accurate financial records
  • Present a financial update at each meeting
  • Liaise with the Headmaster and General Manager of the school
  • Prepare and sign cheques
  • Reconcile bank statements
  • Provide and account for cash floats at events
  • Liaise with the bank
  • Ensure the insurance is paid
  • Pay agreed expenses
  • Prepare annual accounts
  • Count and bank monies
